Renting the Clubhouse
The Belmont Park Clubhouse is available for rental by any homeowner or resident in the community. The maintenance fees on your account must be current to be eligible for this benefit.
The rental fee is $100.00 and the deposit is $200.00. The fees must be paid by separate money orders or cashiers checks - no personal checks will be accepted! The rental fee is non-refundable, however, the deposit will be refunded to you if the clubhouse is left clean without any damages, and all provisions of the rental agreement are met.
Please note that no alcohol is allowed on the premises.
Steps to rent the clubhouse:
1) Contact the management company at
least 30 days in advance of your requested rental date for the rental
form and to check the date for availability. The management company will put you
on the agenda for the next Board meeting and send you the rental form.
2) Attend the next Board meeting. Bring your completed
rental form, deposit and rental fee with you. The Board of Directors will review your rental form and ask any
needed questions. If everything has been submitted and your party is
within the guidelines for renting the clubhouse, then your request for rental
will be approved. Do not send out invitations or make other
permanent arrangements until you have received approval from the Board of
Directors that your request has been approved.
3) If you are a renter in the community, you may rent the
clubhouse; however, the rental of the clubhouse must be handled by your unit
owner. You may contact the management company to verify the date and
request the form, but the form will be mailed to the unit owner at the address
the management company has on file for that owner. The unit owner will be
responsible for completing the application and returning it to the management
company. You will still be scheduled to attend the Board meeting to bring
your funds and discuss the rental form with the Board. Since this may take
some time to complete via mail, we ask that you allow as much time in advance to
schedule the rental as possible.
The week of your rental, you must make arrangements to do a pre-rental inspection of the clubhouse and have the keys delivered to you. The keys must be returned within twenty four hours of the conclusion of your event or you will forfeit your deposit. A post rental inspection will be done on the first business day following your rental. It is strongly suggested that you attend that inspection as well in the event there is any damage present.
When renting the clubhouse please keep in mind that this is all that you have private access to. The pool cannot be closed to the other residents during your event. The playground can be used during your event, however, all children must be constantly supervised by an adult and you cannot bring in any items such as moonwalks or other entertainment devices without the prior written consent of the Board of Directors.
